Asset Management At Client Facilities

Asset management at client facilities consists of the following 9 steps:

1. Assign Project Team

A Project Manager is assigned to each inventory project and will act as the single point of contact for the client.

2. Develop the Work Plan

The Project Manager begins each project by developing a detailed work plan and time schedule for each phase of the inventory process. Each phase of the project is carefully estimated based on the number of personnel and departments assigned to each facility and floor. We work with the client’s designated project manager to coordinate an optimal schedule.

3. Develop the inventory schedule and supply bar code labels

The Advance Group project manager will work very closely with the client’s point of contact to coordinate, schedule, and assign location priority for the inventory process and will provide weekly status reports on the percentage completion of the inventory process.

4. Identify current locations for asset ownership

Prior to commencing the inventory process, the client is required to provide floor plans for all areas to be included in the physical inventory. Bar code location numbers will be provided by building, floor, and room.

5. Standardize tag placement

The Advance Group will use the client’s existing established guidelines or assist in the development of guidelines for the physical locations of the asset tags. Four criteria will be considered:

  • Consistency
  • Accessibility
  • Aesthetics
  • Vulnerability to damage or wear

6. Catalogue items

Our inventory personnel will go into the field and photograph or list each typical and/or unique item with its assigned catalog number. All pertinent information for each asset is collected and entered into the inventory system.

7. Develop preliminary asset bar code lists

Catalog sheets with bar coded catalog numbers will be printed. These are used by field personnel to identify furniture and equipment during the inventory. To perform the physical inventory, inventory personnel will be equipped with bar code tags, portable bar code readers, bar coded location and organization menu lists.

8. Tag assets and collect information using the bar code reader



9. Quality control and exception reporting

On a daily basis, after the data has been uploaded into the BarScan Asset Management System, your Project Manager will generate a quality control report by the location of all assets captured the previous day. The Project Manager will use these reports to verify all data fields and to make any necessary corrections.
